At e-Selex we understand that not all applicant populations are computer savvy. Hundreds of thousands of applicants have completed our web services, providing us invaluable information on the issues that can arise from online services. We have used this feedback to continually improve the instructions and the navigation of our sites. We provide specific instructions on the basic concepts required to navigate the system, such as use of the “Next” button, scrolling, using the drop down menus, etc. These instructions are presented in a simple, easy to read format. For some of our more computer savvy applicant populations (e.g., engineers, programmers), these instructions can be eliminated to reduce administration time.
Administration
We also provide brief administration instructions for the applicant. The instructions describe the process and provide examples in order to build a comfort level in the applicant. All of the important information regarding the administration process is explained for the applicant, without distracting the applicant with unnecessary detail.
A click wrap contract is a legally binding electronic contract that is used as a replacement for a paper contract. There are numerous types of click wrap contracts, such as:
- Authorization to verify information provided
- Authorization for background checks
- Certification of Authenticity
If the customer requires that the applicant agree to the terms of the contract, the program will not permit the applicant to continue until clicking the buttons to indicate authorization.
After clicking the final "Next" button, some users feel a sense of uncertainty, "Did the information go through?"
After sending the final page of data, e-Selex provides a confirmation page that assures the applicant that all of the information entered has been sent. This feature reduces applicant anxiety, as well as the number of follow-up calls to the employer.
Our experience in Internet administration has shown that some applicant populations do not know how to exit from the final page of the e-Selex web services. In order to assist these applicants, the final page of the e-Selex sites can include instructions on how to exit the system. It includes directions on how to exit from each of the major browser programs.
e-Selex customers access applicant data on an administrator site. The administrator site uses an Administrator Password Gateway, ensuring that only approved administrators have access to applicant information. This gateway is important for data security purposes, but it is also a very useful tool for structuring data access for hiring processes.
The most basic use of the gateway is to allow all approved users (those with the correct username and password) to have access to all the applicant data. The gateway can also be structured so that the data is “partitioned” and users only have access to a subset of the data, based on the username and password entered. For example, recruiters responsible for a region only view the data for applicants in that region or recruiters from one division only view their division’s applicant data. This technology allows an employer to keep their applicant data in one database, instead of separating the data to meet their data access needs. This provides a large cost-savings for the employer, due to the consolidation of data upkeep and storage costs.
The gateway can also be used to create “levels” of users with various access permissions. For example, a senior administrator can have access to all of the applicant data. The senior administrator may also have access to administrator functions, such as adding users, changing passwords, or changing the data partitioning structure.
e-Selex online services include a Password Gateway for security purposes. The Password Gateway requires that users enter a valid Username and Access Code before gaining access to the web site.
For many of our customers, applicants must qualify in some way prior to completing the e-Selex web services; therefore, these customers do not want an individual to be able to "browse" to their site and apply. The Password Gateway is essential for this control of site access. Other customers want all interested applicants to have access to their site. Some examples are when the JobSelex employment application is a link off of their homepage or when the PreSelex is used to qualify candidates. These customers may opt to allow open access to the site and therefore not use the Password Gateway.
Our research indicates that most people do not complete an e-Selex service in one sitting. Most applicants exit from the system at least once during the session. It is also fairly common for applicants to get disconnected from the Internet while completing an online service.
For these reasons, the e-Selex systems include Disconnection Recovery. If a user exits or becomes disconnected while completing an instrument, the next time they enter the system, the user is returned to the page on which they exited or were disconnected. This occurs with little or no loss of data because our programs capture and write data to our databases every time the user clicks on a Next Page or Submit button. This feature minimizes applicant frustration and helps to maintain a positive impression of the hiring process.
The collection of Equal Employment Opportunity (EEO) information presents a challenge for most employers. Employers need to collect EEO demographic data for tracking applicant flow statistics, in order to effectively respond to the Office of Federal Contract Compliance Programs (OFCCP) and the Equal Employment Opportunity Commission (EEOC) compliance requirements. However, if employers collect this information on applicants prior to the hiring decision, they are vulnerable to charges of employment discrimination.
As an independent, third party service, e-Selex can collect race/ethnicity, sex, and age data on individuals without putting you at risk. We provide EEO summary reporting for tracking applicant flow statistics and for calculating impact ratios. We do not provide any data that is connected to the identity of any individual. So, the employer receives the benefit of having this essential information without the liability that is otherwise associated with collecting it.
With e-Selex EEO Assurance, EEO data collection is a simple and accurate process. The EEO survey is available with all of our Internet applications. e-Selex provides the EEO survey data to your company in a standard report form on an ongoing basis. We can also provide data analyses and support for requests from the OFCCP and the EEOC.
Accurate identification (ID) numbers or codes are essential for data analysis steps such as eliminating duplicates and matching data records. Incorrectly entered IDs can lead to additional data analysis costs and elimination of otherwise useful data.
e-Selex.com has developed several interface designs for eliminating mistakes when entering IDs. In one design, the ID is entered twice and the number or code is checked to ensure they match. With another design, the applicant enters the ID and, after continuing to the next page, the ID is displayed for confirmation. In a design intended to guard against individuals entering fake IDs, the applicant is asked to enter the ID again several pages after the first entry.
Many identification numbers and codes have several formatting rules that can also be checked. e-Selex.com systems can check the ID to ensure it is a valid format, thereby eliminating many fake IDs and accidental data entry errors.
e-Selex reports results in "real-time." Results are calculated immediately after the applicant submits the last page of the questionnaire. The applicant information and results are available online to your company in a matter of seconds.
e-Selex also eliminates the frustrating time delay for summary reports. The reports are available at your fingertips, online the day after the closing date of the report. This includes EEO reports, results summaries and any other automated customized reporting.
All of our web-based applications use a Secure Server ID, also known as a digital certificate, to encrypt and sign digital information. The Secure Server ID uses the most reliable version of SSL (Secured Socket Layer) technology. Secure Server IDs provide assurance that you are conducting business with e-Selex.com and that the information that you are sending to us can not be intercepted or decrypted by anyone other than the intended recipient. Secure Server IDs provide a complete security solution, assuring the identity of one or all parties involved in exchanging information. The secure connection is established via HTTPS using a standard 128-bit encrypted certificate.
Network security is a primary concern at e-Selex.com. Our entire network infrastructure resides behind redundant firewalls working in conjuction with state-of-the-art network intrustion detection systems allowing only those required protocols needed by our customers to access our hosted applications. In addition to monitoring security daily, weekly procedures are carried out to minimize the risk of a firewall failure or network attack. All external connections are completed via the Internet and only through HTTPS.
